The YMCA of Greater Toronto - 10/10/2009

The YMCA of Greater Toronto has taken the capital plans that were completed 4 years ago and has evolved that information into our ongoing capital planning tracking and capital request system. The benefits for the Y include flexibility and accessibility of entering and reviewing the current deferred maintenance and other capital work that is needed. We are able to provide quarterly updates to Senior Management with the status of the deferred maintenance and other upcoming capital work as well as provide long-term cashflow scenarios. With over 200 sites to manage, this is a moving target with projects being completed, and new ones being discovered. As new sites come online, we blend this into the reporting. We were extremely fortunate to have our information so organized and up to-date, as we were able to pull together a funding request from the Federal Government for over $5 Million, using the project information extracted from Buildingweb. We had less than a month to turn this application around, and attribute our ability to be so responsive to having our information organized in Buildingweb. We also use the Team Library for storing key documents that we need available to the site and to vendors we work with. This primarily includes building drawings and condition assessments on specific building reports (e.g. roofing, elevator, etc.) Buildingweb is a key tool in our capital planning tool box.
